Create a Single, Repeating, or Multiple Action Items
Action items, also known as tasks, are tied to a due date. They can be linked to an existing contact as well as grouped by follow-up type. You can even rank their priority and set their completion date. Action Items can also be set to repeat or create multiple action items at one time.
From a List
- From one of the contact lists (customer, unit, or address) or from the calendar, right-click on a contact, then select New Action Item.
- Enter the desired information, then either click OK to accept and close the form, or
Add to save and add another action item for the same contact.
From a Profile
- On the profile toolbar, click Action Item, then choose Single (or from the Action Items tab on a profile, click ). View
- Enter the desired information, then either click OK to accept and close the form, or
Add to save and add another action item for the same contact.
From the Calendar
- From the calendar toolbar, click .
- Enter the desired information, then either click OK to accept and close the form, or
Add to save and add another action item for the same contact.
From the Profile
On the profile toolbar, click Action Item, then choose Single (or from the Action Items tab on a profile, click ). View
From the Calendar
- From the calendar toolbar, click .
- Enter the desired information, then click Repeat .
- In the Repeat form, enter the interval information then click OK to accept and close the form.
- Choose to either click OK to accept and close the Action Item form, or Add to save and add another action item for the same contact.
- Date: The date where the action item will be added to the calendar (defaults to the current date)
- Follow-up: Customize the type of task (click to edit the existing list)
- Description: By default, displays the contact's name and preferred phone number
- Priority: Choose the priority from 1 to 6 (default is set to 1)
- Linked to: Links the action item to the corresponding contact
- Completion Date: The actual date that the action item was completed on
- Repeat: Option to choose if the action item will be repeated and the interval (Daily, Weekly, Monthly by date or day, and yearly)
- Frequency: Option to choose how often the action item will be repeated
- Duration: Option to choose how long the action item should be repeated
From the Profile
On the profile toolbar, click Action Item, then choose Multiple.
From the Calendar
- In the calendar, click the To Do List tab, and from the calendar toolbar, click next to
then choose Multiple. - From the Follow-up drop-down, select one of the options given under Days, Weeks, or Months, or choose from one of the Quick Add options. View
- Repeat the previous step until the desired number of action items have been added, then OK to save and close the form.
